Staff Schedules
Goal: Manage work schedules, time-off requests, calendar events, and hours reporting for staff.
Find it under Schedule → Staff Schedules in the sidebar.
Work Schedules Tab
Set recurring work schedules by staff member and location.
- Add schedule — select a staff member, location, day of week, start time, end time, effective dates, and optional notes
- Delete schedule — remove a schedule entry (to change, delete and re-add)
- Location filter — filter by location
- Schedules are grouped by staff member (sorted by last name)
Time Off Tab
Manage time-off requests from staff.
Request types: Sick, Vacation, Personal, Flex, Makeup, Holiday, Other
For Directors/Super Admins:
- View all pending requests (highlighted amber)
- Approve or deny with optional review notes
For staff submitting:
- Enter start date, end date, type, and reason
Status filter: All, Pending, Approved, Denied, Cancelled
Calendar Events Tab
Create organization-wide calendar events that appear on the main Calendar.
Event types: Staff Meeting, Training, Holiday, Field Trip, Graduation, Orientation, Fundraiser, Community Event, Other
Fields: Title, Description, Event Type, Location (optional), Date, Start Time, End Time, All Day toggle, Public/Internal visibility
Events marked as Public are visible on the public calendar. Internal events are staff-only.
Hours Report Tab
Generate a staffing hours summary for any date range (defaults to current month).
Output columns: Staff Name, Scheduled Hours, Time Off Hours, Net Hours — with a totals row.
